Introduction

Language is a powerful tool for fostering engagement, especially when working with diverse teams and participants from around the globe. In My360’s My Clients and InnoSurvey, managing language settings effectively ensures that surveys, invitations, and reminders are clear, accessible, and impactful for all participants.

This article provides a comprehensive guide to language handling within the My360, covering everything from setting up default languages to customizing invitations and reminders. Whether you’re assessing a single company or running large-scale polls with participants from multiple regions, understanding how to manage language settings will help you maximize participation and achieve better results.

Why Language Management Matters

Language management isn’t just about convenience—it’s essential for:

  • Ensuring clarity and understanding: Participants are more likely to engage when surveys and invitations are in their preferred language.

  • Improving participation rates: Tailored communication reduces friction and fosters a sense of inclusion.

  • Streamlining global assessments: For large-scale polls involving participants from diverse regions, proper language handling is key to smooth execution.

How Language Works in the My Clients app

Language settings in My360 are configured at three key levels:

1. Company Level

When creating a company in MyClients, you can select a default language. This ensures that all communications related to the company—such as invitations and surveys —are consistent and aligned.

📌 Tip: Always select a default language when setting up a company. If no language is selected, the system automatically assigns the first language in the dropdown list.

2. Poll Level

Polls can be configured to use a specific language or inherit the language preferences of individual participants.

  • Set a Poll Language: All invitations, reminders, and surveys will be sent in this language.

  • Inherit from Participants: The invitations and reminders are sent in each participant’s preferred language, ensuring tailored communication for diverse groups.

For example:

  • If Participant A’s language is set to Spanish, they’ll receive the invitation (and also get the survey) in Spanish.

  • If Participant B’s language is set to Italian, their invitation (and survey) will be in Italian.

This flexibility makes it easy to run multilingual polls without additional configuration.

3. Participant Level

Each participant added to a poll has an individual language preference.

  • Imported Participants: When uploading participants via Excel, the default language is set to English unless otherwise specified.

  • Manually Added Participants: You can select a preferred language for each participant during manual entry. If no language is chosen, English is set as the default.

Invitations and Reminders: Language Settings in Action

There are the following two ways of Sending Invitations.

  1. Built-In Invitations:

    • If the poll has a language assigned, all invitations will be sent in that language.

    • If no poll language is set, invitations will follow the participant’s language preference.

  2. Custom Invitations:

    • You can override system language settings and message by creating a custom invitation message in your desired language.

    • The survey link at the bottom of the invitation will automatically be added and adjust to match the selected language.

Example:

  • If you set the poll language to French and write a custom invitation in French, the entire email (including the survey link) will be sent in French.

  • If you set the poll language to English and write a custom invitation in French, the email message will be sent in French, but the survey link will be in English.

Sending Reminders

  • Reminders must use the built-in message; custom messages are not supported for reminders.

  • Reminders follow the same language logic as invitations, using either the poll’s language or the participant’s language.

📌 Tip: To personalize reminders further, consider sending individual emails to non-responders or creating a general follow-up message with additional context.

Participant Experience: Switching Languages

Participants can change the survey language manually after opening the survey link. This feature provides added flexibility for individuals who may prefer a language different from their default setting.

Requesting New Languages

If your desired language isn’t available in the system, My360 makes it easy to add one:

  1. Request a Translation Link: Contact Innovation360 to initiate the process.

  2. Provide Translations: Fill out the provided translation template with your desired content.

  3. Verification & Publishing: The My360 team will cross-check the translation and publish it.

📌 Timeframe: Adding a new language typically takes 4–8 weeks, depending on translator availability.

Best Practices for Language Management

1. Use the Right Level for Language Selection

  • Company-Level Default: For overall communication consistency.

  • Poll-Level Language: For polls targeting participants who all speak the same language.

  • Participant-Level Preferences: For diverse groups with different language needs.

2. Double-Check Participant Data

When importing participants via Excel, ensure language preferences are correctly specified. If left blank (or is a non-supported language), the system defaults to English.

3. Test Custom Messages

When creating custom invitations, preview the message to ensure the text aligns with the selected language.

NOTE: The survey link will not work in preview messages. It’s is only included to visualize the complete message.

4. Follow Up with Personalized Reminders

Since reminders must use the built-in message, supplement these with direct emails to non-responders for added encouragement.

Conclusion

Effective language management in My360’s My Clients and InnoSurvey is crucial for running successful polls, especially in global organizations with multilingual participants. By understanding and applying the system’s flexible language settings—at the company, poll, and participant levels—you can create an inclusive experience that drives higher engagement and delivers meaningful insights.

Whether you’re setting up a poll in a single language or managing a complex multilingual assessment, My360’s robust language-handling features ensure that every participant feels understood and valued.
